Multiple locations

If your business has more than one location, Kitchfly handles each one as a location of the same company. Each location has its own menu and recipes, inventory, purchases, POS, kitchen display, cash drawer, tables, reports, plan, and Square and QuickBooks connections.

Suppliers are shared: add them once and every location uses them.

Add a location

Only an admin can do it, from My Account → Locations → + Add location:

  1. Enter the location name (for example "North"), the address and the time zone.
  2. Under Menu, choose Copy the menu from… another location or Start with an empty menu.
  3. Choose that location's plan: Basic or Pro.
  4. Click Create location, then Go to… to switch to it.

What's copied: categories, ingredients (with their prices and suppliers), recipes and sub-recipes, dishes with price and photo, modifiers and discounts. What isn't: stock (it starts at zero), sales, purchases, tables, cash drawer, operating costs, and the Square and QuickBooks connections. Those belong to each location and you set them up inside the new one.

Once copied, each location's menu is independent: changing a recipe or price in one doesn't change the others.

Billing: each location pays for its own plan.

  • If you're still on your free trial, the new location shares the trial until the same date.
  • If your trial has ended, the new location is activated by paying its plan: switch to it and activate it in My Account → Subscription. The same card as your other locations is used.

The admins of the location where you created it get access to the new one. To give your team access, go to Team.

Signing in

Signing in doesn't change: email and password, or employee code. You don't need to enter any location.

  • If you only have access to one location, you go straight in.
  • If you have access to several, Kitchfly asks Which location are you working at? after you sign in. Pick one.
  • Each device remembers its location. A POS or kitchen tablet that chose "North" goes straight to North next time, even if the person signing in has access to several.

Switching locations

If you have access to several locations, you'll see the Location selector above the menu (admin), or in the top bar of the POS and kitchen display. When you pick another one, Kitchfly loads that location's data and the device remembers it.

Offline orders

If the POS has orders taken without internet that haven't synced yet, you can't switch locations until they sync. That way no order ends up at the wrong location.

Who can access each location

In Admin & Settings → Team, when your company has several locations a Locations column appears. Check which locations each person can access:

  • A server who covers two locations can have both.
  • When adding someone, choose their locations in the same form.
  • Every location needs at least one admin; Kitchfly won't let you remove the last one.
  • An admin's authorization PIN works at every location they have access to.

Send ingredients between locations

In Inventory & Purchasing → Transfers you can send ingredients from one location to another. See Transfers between locations.

Compare locations

In Reports → All locations you see company totals and a side-by-side comparison of sales, food cost and break-even for each location. See Sales reports.
